FBFormBatch Local
PRACTICAL GUIDE

Fill a PDF form from Excel data without uploading the workbook

FormBatch Local does not read .xlsx files directly. Export the worksheet as UTF-8 CSV, then map its columns to fields that already exist in a fillable PDF. The first completed PDF is free to inspect and download.

Run the files locally. No signup is required and document values are not sent to the server.

1. Prepare one row per output PDF

Keep column names short and unique. Preserve identifiers such as employee IDs and postal codes as text so Excel does not remove leading zeroes. Avoid merged cells, blank headers, or formulas that have not been recalculated.

2. Export UTF-8 CSV

In current Excel versions, choose Save As or Save a Copy, then select CSV UTF-8 (Comma delimited). Use the active sheet only. Open the exported file once in a text editor if commas, quotes, or line breaks are important.

3. Use an AcroForm PDF

The PDF must contain interactive text boxes, checkboxes, radio choices, dropdowns, or option lists. A scan, a printed blank line, or text that only looks like a form is not a field. XFA and encrypted forms are outside this tool's scope.

4. Review mappings instead of trusting guesses

Exact or normalized names are matched automatically, such as Employee ID to employee_id. Review every dropdown before filling. An unmapped PDF field keeps its existing value.

5. Inspect the first result

Check field fit, fonts, checkbox values, dropdown choices, and spelling. PDF form fonts can only display the scripts they contain. FormBatch stops when a value cannot be rendered instead of silently replacing characters.

Boundary: this workflow fills existing fields. It does not create fields, run OCR, sign documents, email recipients, or interpret the document.
